1. Controller

VML Media LLP (company number OC453386), Stoney Works, 8 Stoney Lane, London, England, SE19 3BD, is the data controller for personal data processed through ICP Keywords. Contact: info@wordsatscale.com.

2. What we collect

• Account data — email address, authentication identifiers, and sign-in timestamps.
• Content you enter — personas, seed keywords, keyword lists, domains and saved runs.
• Usage data — actions run, credits consumed, and error logs used to operate and debug the Service.
• Billing data — plan, subscription status and payment records. Card details are handled by Stripe and never reach our servers.
• Referral data — the referral code present when you first visited, so we can attribute sign-ups to a campaign.

3. Why we use it

• To provide the Service and run the analyses you request (contract).
• To take payment, prevent abuse and secure accounts (contract, legitimate interests).
• To improve reliability and quality of results (legitimate interests).
• To send service and, where you opted in, product emails (consent).
• To meet accounting and legal obligations (legal obligation).

We do not sell personal data and we do not use your content to train our own models.

4. Sub-processors

To deliver the Service we share the minimum necessary data with providers acting on our instructions, including hosting and database infrastructure, Stripe (payments), email delivery, search and SEO data providers, social and video data providers, and AI model providers that process the prompts required to generate your results. Keyword and persona text may be sent to these providers as part of a run; account emails and payment details are not.

5. International transfers

Some providers are located outside the UK/EEA. Where that happens, transfers rely on UK adequacy regulations or standard contractual clauses with appropriate safeguards.

6. Retention

• Account and saved runs: kept while your account is active.
• After account closure: deleted or anonymised within 90 days.
• Billing and tax records: kept for 6 years as required by law.
• Technical logs: typically kept up to 90 days.

7. Your rights

Depending on where you live, you may request access, correction, deletion, restriction, portability, or object to processing, and withdraw consent at any time. Email info@wordsatscale.com and we will respond within 30 days. UK users can also complain to the Information Commissioner's Office (ico.org.uk).

8. Cookies and local storage

We use strictly necessary cookies and browser storage to keep you signed in, remember your workspace settings and preserve a referral code between your first visit and sign-up. We do not run advertising cookies.

9. Security

Data is encrypted in transit, access to production systems is restricted, and database access is enforced per user so accounts cannot read each other's data. No system is perfectly secure; please report any concern to info@wordsatscale.com.

10. Children

The Service is not intended for anyone under 18 and we do not knowingly collect their data.

11. Changes

We will post updates on this page and change the "last updated" date. Material changes will also be notified in the app or by email.
